Multiple Proposals Per Supplier

Previously, a supplier could propose only one worker per shift. An unsuitable candidate had to be declined before another could be proposed, creating repeated back-and-forth and slowing fulfilment, especially for higher scrutiny roles.

Suppliers can now propose more than one worker to the same shared shift, so end-hirers and MSPs can compare a shortlist of candidates before choosing. Only one worker is ever accepted, and accepting one automatically declines every other open proposal for that shift. Suppliers can withdraw a pending proposal without affecting the others, and declining one proposal leaves the rest active.

Each order template carries a worker proposal limit on its Settings page. It defaults to 1, keeping existing behaviour unchanged, and can be raised to any value up to 10. To use multiple proposals, an Admin just needs to raise this proposal limit on the relevant order template. Allocation to shifts on standard shift templates is unchanged.

Where you’ll see it

Order template > Settings > Proposal limit

On-site allocation > Propose a worker

Who benefits?

  • Sites filling higher-scrutiny roles that need candidate comparison

Main Benefits

  • Faster fulfilment: fewer propose and decline cycles when a first choice isn’t suitable

  • Better selection quality: shortlist, interview and compare within the same shift process

  • Clearer inbox: one grouped notification covers multiple proposals and automatic declines

Real-time Weekly Overtime

Summary

Weekly overtime is now calculated as each shift is stopped, rather than once every shift for that worker in the week has been submitted. This brings weekly overtime into line with how daily overtime already behaves, so the true expected pay and labour cost are visible as the week progresses.

For this release, real-time calculation applies to five most used weekly overtime rate strategies:

(1) Apply the OT rate dynamically for every minute of OT worked

(2) Use a day or night OT rate depending on whether more day or night hours worked

(3) Use the nominated Weekly Overtime rate

(4) Use tiered nominated Weekly Overtime rates

(5) Use the OT rate from the rate type that has the largest number of worked hours during the week.

All other strategies will follow in a later release, but for now they continue to calculate once all shifts in the week are submitted.

To enable this feature, contact your Customer Operations Specialist.

Where you’ll see it

Timesheets > Weekly overtime line

Who benefits?

  • Both supplier & end-hirer users who can gain earlier visibility into overtime being accrued

Main Benefits

  • Improves pay transparency by showing weekly overtime impacts immediately as shifts complete

  • Reduces end-of-week surprises and disputes by surfacing overtime changes earlier

  • Lets operational teams spot and resolve overtime issues mid-week, rather than once the period has closed

Site Locks Screen

The Site Locks screen has been given a modern UI refresh. This is a visual and usability update only – all of the existing functionality carries over unchanged from the old screens.

The screen has a cleaner, more consistent layout that’s easier to read and quicker to navigate, and it works well on mobile. The way you lock and unlock sites, resolve issues, generate invoices and view purchase orders works exactly as it did before.

In short: same actions, same outcomes, but a cleaner and easier-to-use screen.

Contact your Customer Operations Specialist to enable it for your organisation.

Where you’ll see it

Finance > Site Locks

Who benefits?

  • Anyone who needs to see the lock status of their sites for a given week

Main Benefits

  • Refreshed, easier-to-read layout and controls make the existing locking workflow quicker to navigate

  • Familiar functionality is retained in full – no change to how sites are locked, unlocked or invoiced, so there is nothing new to learn

  • Improved search and filtering make it faster to find the sites that need action

  • A more responsive design that also works on mobile

Configurable Profile Percentage

Previously, a worker’s registration percentage was driven by a fixed set of mandatory fields that was the same for every organisation. Suppliers couldn’t reflect their own compliance policies, chipping away at trust in the 100% score and meaning more manual checking.

With this feature, Suppliers decide which profile fields count towards the 100% calculation. Ticking a field adds it and unticking removes it, with each field weighted equally. Requirements can be set separately by worker type (Standard and Driver).

Once saved, the system recalculates every affected worker automatically. Those missing a required field are flagged and can’t be booked to shifts until their profile is complete. An admin notification and full audit trail are available for every change.

This is part of our Compliance Toolkit add-on package. Contact your Customer Operations Specialist to learn more.

Where you’ll see it

Settings > Configure worker profile > Show/hide profile fields Worker profile > Registration percentage

Who benefits?

  • Suppliers configuring worker compliance requirements for their organisation

  • End-hirers who need assurance that workers marked 100% are ready to work

  • Operations teams relying on registration % to place workers confidently

Main Benefits

  • Aligns “profile complete” with each organisation’s real requirements

  • Cuts down on manual checks while keeping validation meaningful

  • Flexes to a wide range of compliance policies without custom development

Rate Override Approvals

In many organisations, some workers don’t fit standard pay-rate categories, so users need to assign specific pay schedules for ad hoc rates. Linking a worker to one of these custom Charge Pay Schedules (CPS) was previously Admin-only, tying Admins to individual worker and site detail while others waited on them.

Rate Override Approvals separates proposing a custom CPS link from approving it. Any user can propose the link while creating or editing an Assessment. Requests appear on the new 'Rate Overrides' screen under Workers, where Admins can approve or reject in bulk. Approving links the worker to the custom CPS and recalculates their shifts, while rejecting or cancelling makes no change. Notifications go to raisers and approvers.

There’s also an optional further switch to restrict approvals to End-hirers only. Contact your Customer Operations Specialist to enable.

Where you’ll see it

Worker profile > Site Assessments > New / Update > Rate override Workers > Rate overrides

Who benefits?

  • Admins, who no longer need to get involved in individual worker or site scenarios

  • Non-Admins, who can propose CPS links without being blocked waiting on an Admin

Main Benefits

  • Governed and auditable – nothing affects shifts until approved, with a full record of who raised and actioned each change

  • Less on Admin’s plates – they can stay out of individual setup and focus on the bigger picture with bulk actions

Worker Registration Requires Mandatory Documents

Previously, a worker could be booked regardless of whether their mandatory documents were in place – empty document slots had no effect on registration percentage.

With this feature enabled, a worker’s registration is only considered complete when all mandatory document slots are filled. Workers who fall below the minimum threshold can’t be booked to shifts until their documentation is in order. When a JoinedUp system admin marks a new document as required, the system automatically recalculates registration percentages across all affected workers and sends a notification once the update is complete.

This is a feature in our Compliance Toolkit add-on package. Contact your Customer Operations Specialist to enable it for your organisation.

Where you’ll see it

Worker profile > Registration percentage

Who benefits

Supplier admins managing worker compliance and readiness

End-hirers who need assurance that booked workers meet documentation requirements

Main Benefits

Workers with missing compliance documents can’t be booked — gaps are caught before they reach a shift

Registration percentages accurately reflect who is genuinely ready to work

Document requirement changes automatically recalculate across all affected worker profiles

Admin notifications confirm when bulk recalculations are complete

Worker Proposals: Grouped Shifts

Suppliers currently have to propose a worker shift by shift, repeating the same action for every day in a multi-day or multi-week Shift Request.

With this feature, suppliers can propose a single worker across every available shift in a Shift Request in one action. On the Plan On-site screen, the Propose menu now shows a ‘Grouped Shifts’ section alongside ‘Individual Shifts’. Selecting a Shift Request opens a confirmation popup showing the worker, the number of available shifts out of the total, and the date range, with an expandable table of every shift and its status.

On confirmation, the worker is proposed to all available shifts at once. A matching ‘Remove worker proposal’ action retracts the proposal across the whole group, or for selected days only. Unavailable shifts (already allocated, fully proposed, or cancelled) are shown but excluded from the proposal.

Where you’ll see it

Plan On-site > Propose > Grouped Shifts

Who benefits?

  • Supplier users filling multi-day or multi-week Shift Requests

  • Operations teams who need consistent worker coverage across a whole request

  • End-hirers and MSPs who benefit from faster, more complete fulfilment of Shift Requests

Main Benefits

  • Speeds up supplier fulfilment by replacing repeated shift-by-shift proposals with one bulk action

  • Improves consistency by making it easy to propose the same worker across an entire Shift Request

  • Reduces errors and missed shifts by applying proposals uniformly across multi-week requests
